A regulated company, and the record
it can show.

An illustrative example of AI Governance at work in a regulated company: the rules it set for what it publishes, what the continuous reading found across its websites and documents, and the record its board, its regulator and its insurer can each be shown.

The company is illustrative. The rules, the findings and the record are the form AI Governance takes for any regulated organisation whose published content is read by AI as the current position.

A regulated company knows its approved position: which products are on the market, which figures were signed, what a safety notice has to say. What AI reads is the whole of what the company has published over the years, and it treats all of it as current. AI Governance closes that gap by reading the published content against the company’s own rules, continuously, and keeping the record. Inside AI Governance sets out how the service operates.

01The company, and its rules.

A manufacturer supplying regulated markets in the UK, the EU and the US. Its digital landscape holds the corporate site, 3 market sites, an investor section and several hundred PDFs published since 2014. Its rules already exist in its publishing and compliance procedures; AI Governance reads content against 3 of them.

Products

A product withdrawn from a market is not presented as available in that market.

Financial information

Figures published carry the approved values and the reporting period they belong to.

Safety

Instructions and warnings reflect the approved version, and superseded versions are not served as current.

02What the reading found.

The first reading covered the estate brought into view through AI Confidence. 3 findings illustrate what the rules surface.

Products

A product withdrawn from the US market in 2024 remained on a US distributor page the company still hosts, with a live enquiry form.

Financial information

An investor presentation from a prior year sat on the same page as the current results, and AI answered questions about the year with figures from both.

Safety

A superseded storage instruction PDF, linked from a market site, outranked the approved version when AI was asked how the product is stored.

Each finding went to the person who owns that content, with the rule it was checked against and the content itself. The decision on what to do stayed with them.

03The record.

For each finding the record holds the rule, the finding, who reviewed it, the decision and the action, and what the later checks established. The distributor page was retired and the later reading confirmed it gone. The prior-year presentation was retained and labelled with its period. The superseded PDF was removed and the approved version confirmed as the one AI now reads.

That record answers the questions a board, a regulator or an insurer would ask, in the order they ask them: what rule applied, what was found, who reviewed it, what was done, and whether it is closed. FRC guidance asks for ongoing monitoring and reporting on controls; the record is that evidence, held as the work is done. FRC, Corporate Governance Code Guidance, monitoring and controls.
