01What happens.
A correction published as a new document does not replace the old one; it joins it. Where the versioning is not correct, nothing tells a machine which is current, and the machine weighs authority instead: age, links, citations, structure. PDFs are cited by AI at 1.44 to 1.8 times the rate of comparable web pages on our reading of more than 4.5 million PDF pages, and the older PDF carries the authority.
02Why it matters.
Whoever owns technical documentation in a chemicals company faces this: an older safety document has had years to accumulate the links and citations a machine trusts, and the correction that replaces it starts with none.
Internal systems that read the company's own documents are the first to be misled, and the people acting on their answers have no way to see which version they received. The correction most in need of being read is the one the machine has least reason to choose.
03The case.
A chemicals company revised the storage temperatures for one of its products after a review. The revision was published as a new much larger PDF, uploaded to the document store and linked from the current product page. Nobody removed the original PDF, and the two carried no version relationship a machine could read..
The original document had already been online for several years. It was linked from distributor sites, cited in safety documentation elsewhere, and referenced in the company's own older material, some of which was itself superseded. The revision was new, linked from one page, cited by no other document, and carried nothing in its metadata to say it replaced anything.
The company's agentic system, which read the document store to answer internal and customer questions on handling and storage, weighed the documents as a machine weighs PDFs. It served the original, and staff and customers asking for the storage temperature received the superseded range, stated with confidence, from the company's own system and with no reason to question the answer.
Anyone storing the product on that basis was holding it at temperatures the company had decided were wrong. The revision existed and had been published correctly by the standards the company applied to publishing; it had not been published in a way that displaced what it replaced.
The safety documents looked correct on screen to the people responsible for them. Whether they indicated a need for further inquiry is the question raised by the United States finding.
04Exposure.
Storage instruction is safety-bearing, and a company's directors are accountable for the version in circulation under the company's name.
The question for the board is whether a failure of the company's own internal system, serving a superseded safety instruction, engages the directors' duty of care. For the United States finding, California Corporations Code section 309 sets the standard: such care, including reasonable inquiry, as an ordinarily prudent person would use in like circumstances, with inquiry expected when the circumstances indicate the need. How that standard applies to documents that read correctly to a person is a question on the facts, and no breach is stated here.
A product stored at the wrong temperature would carry the consequence to the people handling it, the customers relying on it, and the company's product liability and licence position. The correction was right in each figure, but it did not protect the staff and customers who received the superseded range.
05What AI Readiness changes.
Both PDFs were visible on the company's own systems, and nothing there showed which one a machine would serve. For each safety-bearing instruction, the company needed to know which version AI is drawing on and why, including the older documents on distributor and partner sites that still cite the original.
We provide the evidence needed to establish which version AI serves and why. With it, each revision is published in a form that displaces what it replaces, the originals are retired or marked, and the answer the company's own systems return is checked before a product is stored according to it.
The company makes the changes, and AAAnow provides the assessment, the evidence, the guidance and the review.
